Privacy Policy

1. Introduction

SnapFile is a mobile document scanning application published by BlueCrest Group. This Privacy Policy explains how we collect, use, store, and protect your personal information when you use the SnapFile application and related services.

By downloading, installing, or using SnapFile, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the application.

2. Information We Collect

2.1 Account Information

When you create a SnapFile account, we collect:

  • Your name and email address
  • Authentication credentials (password hash or OAuth token)
  • Subscription status and billing information (processed by Apple App Store or Google Play Store; we do not directly collect or store payment card details)

2.2 Document Metadata

When you scan a document, our AI classification service extracts structured metadata from the document image. We store this metadata on our servers to power search, organization, and sync features. Metadata may include:

  • Document type classification (e.g., receipt, contract, medical record)
  • Extracted dates, monetary amounts, vendor or provider names
  • Document reference numbers, categories, and user-applied tags
  • Filing location and sync status

We do not store document images or the full extracted text of your documents on our servers. Document images remain on your device and in any cloud storage provider you choose to connect.

2.3 Usage and Analytics Data

We collect anonymized usage data to improve application performance and stability. This includes:

  • App crash reports and error logs (collected via Sentry)
  • Feature usage events (e.g., number of documents scanned, features accessed)
  • Device type, operating system version, and app version

We do not collect precise location data, contacts, or call logs.

2.4 Third-Party Service Connections

If you connect cloud storage providers (Google Drive, OneDrive, Dropbox, or iCloud Drive) or accounting software (QuickBooks, Xero, or Sage), we store encrypted OAuth tokens that allow SnapFile to interact with those services on your behalf. We do not store your passwords for any third-party service.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the SnapFile application
  • Classify your documents and suggest filing locations using AI
  • Sync document metadata and files to your connected cloud storage providers
  • Sync receipt data to your connected accounting software
  • Manage your subscription and account
  • Diagnose crashes, bugs, and performance issues
  • Communicate with you about your account or service updates

4. How Document Processing Works

Image capture: Document images are captured and stored locally on your device.

AI classification: When you scan a document, the image is sent directly from your device to the Anthropic Claude Vision API for classification and metadata extraction. The image is not routed through or stored on BlueCrest Group servers.

Metadata storage: The classification result and extracted metadata are returned to your device and stored on our servers to enable search and organization features.

Cloud filing: If you accept a filing suggestion, the document image is uploaded directly from your device to your chosen cloud storage provider (e.g., Google Drive). BlueCrest Group does not handle or store the document image during this process.

Accounting sync: If you connect accounting software, extracted receipt metadata (vendor, amount, date, category) is sent from our servers to your accounting provider. The receipt image attachment is uploaded from your device.

Anthropic, the provider of the Claude Vision API, processes document images in accordance with their own privacy policy and data handling terms. We encourage you to review Anthropic's privacy policy at anthropic.com/privacy for details.

5. Data Sharing and Third Parties

We do not sell, rent, or trade your personal information to third parties. We share information only in the following circumstances:

Service providers: We use third-party services to operate SnapFile, including Anthropic (AI document classification), Sentry (crash reporting), and the cloud storage and accounting providers you choose to connect.

Cloud and accounting providers: When you connect Google Drive, OneDrive, Dropbox, iCloud Drive, QuickBooks, Xero, or Sage, data is shared with those services only as necessary to perform the functions you have authorized.

Legal requirements: We may disclose information if required by law, regulation, legal process, or governmental request.

Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.

6. Data Storage and Security

Account information and document metadata are stored on secure servers. We implement industry-standard security measures including:

  • Encryption of data in transit using TLS/HTTPS
  • Secure storage of OAuth tokens using platform-native secure storage (iOS Keychain, Android Keystore)
  • Hashed password storage (we never store plaintext passwords)
  • Access controls limiting employee access to user data

No method of electronic storage or transmission is 100% secure. While we take reasonable measures to protect your information, we cannot guarantee absolute security.

7. Data Retention

Account data: Retained for as long as your account is active. Deleted within 30 days of account deletion.

Document metadata: Retained for as long as your account is active. Deleted within 30 days of account deletion.

Crash and analytics data: Retained for up to 90 days for diagnostic purposes, then automatically deleted.

OAuth tokens: Deleted immediately when you disconnect a third-party service, or within 30 days of account deletion.

Document images stored on your device or in your connected cloud storage are under your control and are not affected by account deletion.

8. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: You can request a copy of the personal data we hold about you.
  • Correction: You can request correction of inaccurate personal data.
  • Deletion: You can request deletion of your account and all associated data.
  • Data portability: You can request your data in a portable, machine-readable format.
  • Withdrawal of consent: You can disconnect third-party services at any time through app settings.

9. European Users (GDPR)

If you are located in the European Economic Area (EEA) or the United Kingdom, the following additional terms apply:

Legal basis for processing: We process your personal data based on: (a) your consent when you create an account and connect third-party services; (b) contractual necessity to provide the SnapFile service; and (c) our legitimate interest in improving application performance and security.

Data transfers: Your data may be transferred to and processed in countries outside the EEA, including the United States, where our service providers operate. We ensure appropriate safeguards are in place for such transfers.

Supervisory authority: You have the right to lodge a complaint with your local data protection supervisory authority.

10. California Users (CCPA)

If you are a California resident, you have the right to:

  • Know what personal information we collect and how it is used
  • Request deletion of your personal information
  • Opt out of the sale of personal information (we do not sell personal information)
  • Non-discrimination for exercising your privacy rights

11. Children's Privacy

SnapFile is not directed at children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete that information promptly. If you believe a child under 13 has provided us with personal information, please contact us at support@snapfileapp.com.

12. Offline Use

SnapFile supports offline document scanning. When you scan documents without an internet connection, images are stored locally on your device. Document classification and cloud syncing will occur once your device reconnects to the internet. No data is transmitted to our servers or third-party services while you are offline.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you through the application or via email. Your continued use of SnapFile after changes take effect constitutes acceptance of the revised policy.
